Job Title: Receptionist FT/Non Exempt
Reports To: Executive Director
Location: Victorville
Position Summary:
As our Receptionist, you will be the first point of contact for Rolling Start, a non- profit, cross disability organization. You will coordinate front-desk activities, distribute correspondence and redirect phone calls. You will provide customer service, including welcoming guests and greeting consumers who visit the organization. As expected, you should be able to work under pressure, multitask, and produce quality work in timely manner.
Essential Duties and Responsibilities:
Greet all individuals entering, determine nature and purpose of visit, and direct or escort them to the specific destinations;
Operate a reception telephone to answer, screen, cover for another RS office or forward calls, providing information, taking messages, and scheduling appointments;
Input consumer I&R’s into database (CIL Suites);
File and maintain records;
Order materials, supplies, or equipment in keeping with budget restrictions;
Distribute surveys to consumers and other visitors when directed to do so;
Box & mail items needed for consumers;
Monitor postage usage;
Be informed and manage calendars of several team members;
Prepare monthly consumer event calendar, support in person staff/consumer events;
Prepare consumer intake files;
Support outreach activities by preparing material, outreach materials;
Maintain the cleanliness of the lobby or reception area;
Keep all printed literature and vendor brochures current;
Perform administrative support tasks such as filing records, making copies, faxing documents, and sending emails;
Process and prepare memos, correspondence, and other documents;
Ability to communicate effectively with person(s) with various types of disabilities, maintain confidentiality, work under minimal supervision, and remember program policies and details;
Other duties as assigned by Executive Director.
Minimum Qualifications:
High School Diploma or equivalent
2 years of experience in an office setting
Minimum 2 years’ experience working with Microsoft Word, Excel, PowerPoint and data entry; computer skills
Other Preferred Qualifications:
Knowledge of the services in the areas. Sensitivity to, and knowledge of, the needs of persons with disabilities;
Knowledge of Rehabilitation Act of 1973 and the Americans with Disabilities Act, Work Incentives Act, and IDEA preferred
Bilingual speaking skills a plus
Good math and writing skills
Good phone skills
Good computer skills
Work Conditions:
The physical demands may vary. The noise level of the office working condition is low to moderate: mostly indoors, occasionally outdoors:
moderate amount of travel: local, regional and statewide. Must be able to sit for a long period of time and handle multiple tasks at one time.
